Uncategorized Expense and Ask My Accountant: a monthly clean-up routine

Small balances in placeholder accounts are normal during the month. At month-end they're a sign that the books aren't finished: expenses are missing from the right lines, profit may be misstated and tax categories are unknown.

A routine that works

  1. Categorize what you can. Apply bank rules, match receipts and bills, and use last month's answers.
  2. Export what's left. Export the For review list for each account (see how to export it), and run a report on the placeholder accounts for transactions that were already added uncategorized.
  3. Ask the client once, in one place. Send one short list with plain-language choices and a due date (see the email template).
  4. Post the answers. Work down the answered list in date order: categorize transactions still in the bank feed; for transactions already posted to a placeholder account, edit them or reclassify them (QuickBooks Online Accountant includes a Reclassify transactions tool).
  5. Create rules. Turn repeated answers into bank rules so they don't come back next month.
  6. Check the balance is zero. Before you send monthly reports, confirm the placeholder accounts are empty or explained.
