How to export “For review” bank transactions from QuickBooks Online
Before you can ask a client about unexplained transactions, you need the list. In QuickBooks Online the transactions that came in through a bank feed but haven't been added yet sit on the bank account's For review tab, and you can export that list to a spreadsheet.
Steps
- Open Banking (in newer menus: Transactions → Bank transactions).
- Select the bank or credit card account tile at the top. The export covers one account at a time.
- Open the For review tab. Some newer QuickBooks layouts label the tab differently (for example “Pending”); it is the list of downloaded transactions you haven't categorized or matched yet.
- Optional: filter by date so the export covers the month you're closing.
- Click the export icon above the list and save the file. Depending on your QuickBooks version it downloads as an Excel (.xlsx) or CSV file.
- Repeat for each account you want to ask about.
Menus and labels in QuickBooks Online change from time to time and can differ between plans and the accountant view; if a step doesn't match your screen, look for the export icon on the account's list of transactions to review.
Limits to know about
- About 1,000 rows per export. Intuit's community answers describe a 1,000-row limit for this export. If an account has more, export a narrower date range and import each file.
- One account per file. Export each bank and card account separately. You can import several files into the same Cluerow worksheet.
- You can't import categories back through a bank CSV. QuickBooks Online's manual bank upload accepts only date, description and amount columns (3-column or 4-column format), so a filled-in spreadsheet can't categorize transactions automatically. Use the answers as a worksheet while you categorize in QuickBooks, or turn repeated answers into bank rules.
What the file contains
Expect a date, the bank's description, the payee when QuickBooks has one, the current category or match suggestion, and the amount (often as separate Spent and Received columns). Cluerow reads these by their column headings and skips title rows above them. If anything is read wrongly, the import screen lets you choose the columns, the header row and the date order.
Which transactions to ask about
- Anything QuickBooks suggests as Uncategorized Expense or Uncategorized Income.
- Transfers and payment apps where the other side is unclear (Zelle, Venmo, PayPal, checks, ATM withdrawals).
- Large or unusual amounts, and anything that might be personal.
- Deposits that might be loans, owner contributions or refunds rather than sales.
